Extended Learning Terms and Conditions

* “Extended Learning” refers to our Shining Stars Nursery, KidsQuest (breakfast and afterschool) provisions

Our Extended Learning provisions are run by the Governing Board of Wallace Fields Infant School & Nursery (under section 27 of the Education Act 2002).  This agreement is between you as a parent and WFIS & Nursery Governing Board.

Our core offer for Shining Stars Nursery may be subject to change.

All children attending the Extended Learning Provisions are covered by Wallace Fields Infant School & Nursery Public Liability Insurance.

1. Admissions – Shining Stars Nursery

Places at Shining Stars are offered on a first come, first serve basis and children can join our Nursery the term after they turn 2 years old. A completed online booking form must be submitted before a place can be considered.

1.1. Admissions – KidsQuest

Priority for admission to KidsQuest Breakfast & Afterschool Provision is given to children attending Wallace Fields Infant School & Nursery.  Children leaving the Infant School in Year 2, who will be attending Wallace Fields Junior School but wish to use the provision, will be required to re-apply for a place in the provision for year 3 at the end of the summer term.

Criteria:

  • Children attending Wallace Fields Infant School & Nursery
  • Children attending Wallace Fields Junior School with a sibling attending Wallace Fields Infant School & Nursery
  • Children attending Wallace Fields Junior School without a sibling at the Wallace Fields Infant School & Nursery
  • Children attending any other local school

2. Deposit – Shining Stars

We ask parents for a deposit of £150 to be paid with all Shining Stars booking forms. A deposit is required per child that attends the provision. This is a holding payment on your account, and on receipt of this payment your child’s place will be secured. Your deposit will be returned (credited) to your online Scopay account at the start of your last term in the provision. This deposit does not apply to FEET funded 2 year olds.

2.1 Deposit – KidsQuest

We ask parents for a deposit of £50 (per child) to be paid with all initial booking forms. This is a holding payment on your account and on receipt of this payment your child’s place in KidsQuest will be secured should there be an available place.  Deposits are refundable once your child leaves the school (or no longer requires the provision) and your final balance has been settled in full. 

3. Payment of fees

All fees are assigned to your online Scopay account on a termly basis. (Autumn Term – September to December, Spring Term – January to March and Summer Term – April to July)

Fees are to be paid in full within 14 days of the start of term. Failure to pay in line with the terms and conditions will result in your child being refused admission to the provision.

3.1. Funding – Shining Stars

Our Nursery is registered to deliver FEET funding (from 2 years old), Universal 15 hours and Extended 30 hours Free Early Education (FEE).

Universal funding is applied to your core session in Big or Little Stars when applicable.

If you are eligible for the Extended Funding (30 Hours), this funding can be applied to all day sessions.

3.2 Eligibility Code -Extended 30 Hours Funding – Shining Stars

Parents who are eligible for the Extended Funding (30 hours) will need to provide their eligibility code the term before their child is due to claim.

If the parent is no longer eligible for the funding, a “grace period” will be given with a date that the funding will stop. From this date, parents will then be liable to pay a non-funded session price for any booked sessions.

4. Payment Methods are:

  • Online – via Scopay

or

  • Childcare Vouchers – all providers accepted

5. Late or Non Payment

Wallace Fields Infant School & Nursery reserves the right to charge an administration fee of £10 per correspondence due to late payment of fees.  We also reserve the right to refuse attendance until any outstanding balances are paid. If you are experiencing financial difficulties, please speak to or email Carley Dean (carley.dean@wallace-fields-infant.surrey.sch.uk) in the school office at your earliest convenience.

6. Bookings– Shining Stars

There is a minimum requirement of 3 sessions per week in Little Stars for the first term.  After a child has completed one full term in Little Stars, it is mandatory they attend 5 sessions a week from thereon. However, if you are eligible for EYFE Universal (15hrs) Funding and/or in Big Stars it is mandatory for your child to attend 5 sessions a week.

Booked sessions cannot be ‘swapped’ and refunds cannot be given for non-attendance.

6.1 Bookings – KidsQuest

Sessions are to be booked as a set regular weekly occurrence for the duration of the term. Bookings are to be made via our school website www.wfis.co.uk

using the online booking form. Once a regular booking is made, it will remain in place until notice is given (in writing) to cancel.  E.g. the booking will roll forward at each term.

Booked sessions cannot be ‘swapped’ and refunds cannot be given for non-attendance.

6.2 Ad-hoc sessions – KidsQuest

Ad-hoc sessions are available to parents who do not want to book a regular session e.g. every week/ term, but require ad hoc days throughout the term.  Ad-hoc sessions can only be booked a maximum of 7 days in advance e.g. if you require a booking on a Monday the earliest you can book is the Monday beforehand. Places are given on a first come, first served basis dependent on maximum session numbers.  Sessions must be booked by telephoning the school office and are to be paid in advance of your child’s booking i.e. your Scopay account must be in credit in order to book an ad-hoc session.   If paying through childcare vouchers, please ensure the payment is made in advance allowing time for the transfer to clear.

7. Booking Cancellation – Shining Stars

Once your booking is confirmed for Shining Stars, cancellations require a minimum of 3 months’ notice given in writing to Carley Dean (carley.dean@wallace-fields-infant.surrey.sch.uk), e.g. if your child is due to start in the Autumn term e.g. September 4th notice will need to be given by June 4th.

If a cancellation is made without giving 3 months’ notice, your deposit will be forfeited and you will incur a charge of 4 weeks fees, based on a non-funded session price for sessions booked.

7.1 Booking Cancellation – KidsQuest

Once your booking is confirmed cancellations require a minimum of 1 months’ notice during term time in writing to Carley Dean (carley.dean@wallace-fields-infant.surrey.sch.uk). E.g. if you wish to cancel your child’s sessions in the Autumn term notice will need to be given 1 month prior to the end of the Summer term.

If a cancellation is made without giving 1 months’ notice, your deposit will be forfeited and you will incur a charge of 4 weeks fees based on sessions booked.

8. Booking Amendments – Shining Stars

In the rare instance you decide that you no longer want to start your child at the confirmed start date and wish to delay their start date, we will require a minimum of 3 months’ notice given during term time in writing to Carley Dean (carley.dean@wallace-fields-infant.surrey.sch.uk), e.g. if your child is due to start in the Autumn term e.g. September 4th notice will need to be given by May 4th.

The decision to move your child’s start date will be made at the discretion of the school. If we are able to accommodate your request, your child’s start date will be moved and your deposit transferred.

We are unable to make amendments to a child’s start date outside of the 3 months’ notice period and should your child not start on the confirmed start date you will forfeit your deposit, incur a charge of one month’s fees based on a non-funded session price and will have to re-apply for a place in Shining Stars.

Once your sessions are booked and confirmed if you decide to amend your sessions throughout the term Wallace Fields Infant School and Nursery reserve the right to charge an administration fee of £10

9. Absences – Shining Stars

In the event of your child being absent from Shining Stars you need to contact the school office, 0208 394 0647 Ext 1, on the first day of absence, giving details for the reason and when they are expected to return. Refunds cannot be given for non-attendance.

If your child has a hot school lunch in Rockets you will need to contact the school office, 0208 394 0647 Ext 1 no later than 10am on the day of absence, to ensure you do not get charged for a hot lunch that day. Failure to make contact before 10am will result in you being charged for a hot school lunch even though your child is absent from Shining Stars.

10. Late Collections

We would request that parent’s telephone to inform us if they will be unavoidably late collecting their child.  If parents are late to collect children, a late collection fee will be charged per late collection. (Late collection/s are subject to a penalty charge of £5 for every 5 minutes).  If, after we have made every effort to reach available contacts, a child has still not been collected by 30 minutes after the end of their session, we will follow DFE guidelines and contact Surrey Children’s Services.

11. Uniform – Shining Stars

All parents should adopt the uniform for children attending Shining Stars Nursery. For FEET Funded children the school can supply uniform.

12. Closure

If, due to unforeseen circumstances e.g. adverse weather conditions, a pandemic it is necessary to close the provision, parents will be informed via the school website, email and social media.  It will not be possible to refund fees in such situations.

12.1 Closure - KidsQuest

Available KidsQuest sessions are based on Wallace Fields Infant School and Nursery’s term dates and inset days. Should your child be using the KidsQuest provision but attending an alternative school e.g. Wallace Fields Junior School whose termly dates and inset days may differ to those of Wallace Fields Infant School and Nursery, please note that payment will still be due for all the sessions booked within Wallace Fields Infant School and Nursery dates regardless of your child’s school closure days. 

13. Lost property

Please ensure that your child does not bring valuable items to the provision and that all belongings are clearly named.  We cannot be held responsible for any loss or damage to personal property.

14. Liability

Shining Stars and KidsQuest does not accept liability for loss or damage to belongings or property.

15. Exclusion/Inclusion

Our Extended Learning Provisions operate an inclusion policy.  In the event that we consider the behavior or conduct of any adult or child is having a negative impact on others we will work with those involved to rectify and resolve the issue.  In the event that we feel we have exhausted all reasonable options, we will withdraw access to the Extended Learning provision.

16. Complaints

We are committed to providing a high quality childcare setting.  We welcome ideas and suggestions, through direct discussion and questionnaires.  However, if you wish to make a complaint, please, in the first instance, speak to the manager of the provision. If you do not receive a satisfactory conclusion please refer to WFIS & Nursery complaints procedure.

17. Data Protection and confidentiality

It is necessary for us to hold personal details about you and your child.  This is stored both in a hard copy on file and on a computer database.  This information remains confidential to Shining Stars and KidsQuest and will only be shared with a third party, in the event of an emergency.
